
Online University Recruitment 2026 – Where to start and how not to miss key dates?
What is the biggest trap at the start? Assuming that everything works according to the same rules at every university. Spoiler alert: it doesn't. Every university is a separate institution with its own calendar. If you plan to apply to several places, your calendar or phone reminders will become your most important tool. It is worth setting up accounts in the systems well in advance, even if you don't know your final grades yet.
The most important dates in public university recruitment
The main wave of enrollment at public universities usually starts around May and June when the systems begin to work at full speed. However, the entire recruitment machine starts much earlier. If you want to keep your finger on the pulse and check detailed recruitment deadlines, it's worth taking a look at the schedule. What exactly does the 2026 calendar look like if you want to get through this process without unnecessary stress?
- February – March 2026: if you are considering studying at a private university, this is the time to take the first step. Private higher education institutions launch their recruitment systems as early as late winter. You need to be especially vigilant with English-taught programs – due to huge interest from international students, spots there disappear the fastest.
- April – May 2026: art and music academies open their registration. They start earliest because, apart from clicking in the system, you face additional practical exams, portfolio reviews, or auditions.
- May – June 2026: systems are launched by classic universities and universities of technology. This is the perfect time to complete your profile and enter basic personal data.
- July 8, 2026: official announcement of the Polish Matura (high school exit exam) results. From this exact moment, you have just a few days to enter your percentage scores into the system (applies also to recognized foreign diplomas).
- July 10–14, 2026: the final deadline for closing applications and making recruitment payments. For example, the University of Warsaw and the Jagiellonian University in Krakow close their gates around July 9-10, while the Medical University in Wrocław allows registration until July 14. If you are even a minute late, the system will block your ability to choose a program.
- Mid-July 2026: publication of the first ranking lists. Information on whether you have been admitted will be visible immediately after logging into your profile.
Pro tip for July – don't trust rumors or unverified information from friends. Check the recruitment tabs of specific faculties directly, because dates there can change at the last minute.
Second Chance, or Supplementary Recruitment
If in mid-July you see a "not qualified" message, do not give up. In August and September, the second intake begins. Many people apply to 3-4 programs simultaneously and then choose only one, freeing up the remaining spots. These free slots return to the pool.
Supplementary recruitment works exactly the same – you log in, choose a program, pay, and wait for the results. Interestingly, admission thresholds in the second round can be a positive surprise. In turn, private universities very often conduct continuous recruitment until the end of September, which gives a huge psychological comfort.
The IRK and ERK Systems – A Stress-Free User Manual
Regardless of whether your university uses the Internet Registration of Candidates (IRK) or Electronic Registration of Candidates (ERK), the mechanism is identical. It is simply a database where you must create your profile. So as not to do this in a rush five minutes before the servers close, prepare your documents before sitting down at the computer.
What do you need to have on hand before launching the system?
Instead of looking for documents at the last minute, place next to your keyboard:
- personal data – passport or ID number, exact address, and phone number. Provide an email address that you really use every day and remember the password to;
- school data – the exact, official name of your high school and graduation year;
- high school diploma – after the results are announced, you will need its document number and exact date of issue.
Watch out for autocorrect on your phone or browser. A typo in your ID number or a misspelled surname means long and tedious correcting of matters in the dean's office.
Student ID Photo – How to avoid rejection by the system?
This is a classic trap that many candidates fall into. The photo uploaded during recruitment will later go on your Electronic Student ID (ELS). The IRK and ERK systems have automatic filters that verify files technically. A selfie taken with a phone against the wall in your room will 99% be rejected.
The requirements are clear and strict:
- passport framing – face straight on, bright uniform background, no headgear, and no dark glasses;
- technical parameters – JPG or PNG format, specific file size, and resolution, which are precisely described in the instructions inside a given platform.
The simplest solution? Go to a photographer, say you need a photo for a Polish student ID, and ask them to send the ready digital file straight to your email.
Creating an account before exam results are announced
A question often arises – how to choose a program if I don't know my grades yet? The systems are prepared for this. You create an account and choose your studies, leaving the grades section empty. You fill it in only after you receive your results.
Most public universities download results automatically from the National Matura Register (KREM) based on the Polish PESEL number. Your role is then limited to logging in and checking if the numbers match. If your chosen university is not connected to this database (or you are a foreign student without a PESEL), you must enter the grades manually before the recruitment closes.
Choosing Programs and the Recruitment Fee – Costs and Limits
After creating a profile, you proceed to choose your study programs. However, every step in this panel involves specific financial and organizational rules.
How many programs can you apply for simultaneously?
Short and to the point: as many as you want. Polish law imposes no limits. You can simultaneously submit papers to Warsaw, Krakow, and Wrocław. Just remember two things:
- separate systems – every university is a completely separate account. Want to apply to three different universities? You set up three separate profiles and keep track of three different calendars;
- multiple options at one university – if you choose several programs at the same university, each of them is treated as a separate application and requires a separate fee.
How much does recruitment cost and how to pay correctly?
For every application to a specific program, you must pay a recruitment fee. The rates for 2026 are:
- 85 PLN – for most standard humanities, science, or social programs;
- 150 PLN – for programs that require additional aptitude tests (e.g., architecture, graphic arts, physical education).
Important! The system generates an individual bank account number assigned to your profile. Do not transfer money to the university's general account found on the internet. Make the transfer in advance – what counts is the moment the payment is booked by the university's system, not the second you clicked "Send" in your banking app.

You Got In, Now What? How to submit documents correctly?
A green light in the system is a great feeling, but it's only half the journey. Now you have to deliver physical documents to the dean's office. If you miss the short deadline (usually 5–7 days), your spot will be irretrievably lost.
What do the statuses in the system mean?
- Qualified (Zakwalifikowany) – you have the green light. Pack your documents and deliver them to the university.
- Reserve list (Lista rezerwowa) – you just missed it. Wait and check the system daily – when others resign, you will jump into their place.
- Not qualified (Niezakwalifikowany) – it didn't work out in this round, time to look for options in supplementary recruitment.

- personal questionnaire – printed directly from the IRK/ERK system and strictly signed by hand;
- high school diploma – the original or an official copy. Regular photocopies will not be accepted (foreign diplomas may require an apostille or sworn translation);

- payment confirmation – a printout of the bank transfer confirmation;
- medical examination – required only for medical, chemical, or sports programs.
